Every Schengen consulate publishes its own checklist, and that checklist is the one you must follow. But the shape of a UAE application is the same everywhere: a core set of documents everyone submits, plus a second set that depends on whether you are employed, run a business, are sponsored by a spouse, are studying, or are retired. This guide covers both.

Documents everyone needs
Whatever your situation, these appear on essentially every Schengen checklist in the UAE.
Identity and status
- Application form, completed and signed in original
- Original passport, with at least two blank pages, issued within the last ten years, and valid for at least three months beyond the date you leave the Schengen Area
- Copy of the passport bio page, and copies of any previous Schengen visas
- UAE residence visa, normally valid at least three months beyond your return
- Emirates ID, original and copy
- Two passport photographs, recent, white background, meeting EU specifications. Head coverings are accepted for religious reasons only
Your trip
- Return flight reservation — a booking, not a purchased ticket
- Accommodation for every night, or an invitation letter if staying privately
- A day-by-day plan showing where you will be
Money and insurance
- Personal bank statements, at least the last three months before application. Some consulates ask for six
- Travel medical insurance with minimum cover of €30,000 including repatriation, valid across all Schengen states, covering your whole stay
On insurance from credit cards. Some consulates treat credit card travel insurance differently from a standalone policy. If you plan to rely on a card policy, check your consulate’s leaflet specifically, and make sure the certificate states the €30,000 figure, repatriation cover, validity across all Schengen states, and your exact travel dates.
If you are employed
This is most UAE applicants. Alongside the core documents:
- An employer letter or NOC on company letterhead, stating your position, employment status, length of contract, salary, and your approved leave dates, and confirming no objection to your travel
- The letter must be stamped and signed, showing the name and position of the person signing
- It must be addressed to the specific consulate, for example “Embassy of Portugal in Abu Dhabi”. A generic “To Whom It May Concern” is weaker and some consulates reject it
- Salary certificate or recent payslips
- Bank statements showing salary arriving regularly
The employer letter does a lot of work in your file. It proves you have a job, an income, a reason to come back, and permission to be away. A letter that omits the return date or the leave dates does only half the job.
If you own a business
- Valid trade licence
- Company registration documents and, where applicable, the memorandum of association
- Company bank statements for the last three to six months, alongside your personal statements
- A letter on your company letterhead explaining your role, the nature of the business, the purpose of your trip and your return date
Where you sign your own letter, the supporting documents carry the weight. A trade licence, a real trading history in the account, and a coherent explanation of who runs things while you are away are what make the file credible.
If your spouse or family sponsors you
Common in the UAE, and the point where files most often fall apart. The consulate needs to see three things: who is paying, that they can afford it, and how you are related.
- A sponsorship letter from your sponsor confirming they will cover your expenses during the trip
- Copy of the sponsor’s passport and UAE residence visa
- The sponsor’s employment letter or trade licence
- The sponsor’s bank statements and salary certificate
- Proof of relationship — marriage certificate, or birth certificate for a child. Some consulates require these to be attested
- Your own residence visa copy showing the sponsor as your sponsor
If the sponsor is outside the UAE, the letter is usually required to be notarised.
If you are a student
- A no objection letter from your school or university, on letterhead, confirming enrolment and approved absence
- Proof of enrolment or student ID
- Your sponsor’s documents as above, since most students are financially dependent
If you are retired or not working
- Proof of pension or income, where you have one
- Bank statements showing you can fund the trip
- Sponsor documents, if someone else is paying
- Evidence of ties to the UAE — property, tenancy contract, family here
Without an employer letter, ties are harder to demonstrate, so this is where property documents, a tenancy contract, and a long, stable banking history matter most.
If you are travelling with children
- Every applicant needs a separate application, regardless of age
- Birth certificate, often attested
- Copies of both parents’ passports and residence visas
- A no objection letter from the parent or parents not travelling. Where only one parent attends the appointment, this letter normally has to be legalised or authenticated
- School letter confirming enrolment and approved absence
How recent each document must be
Consulates reject files over dates more often than over missing documents. These are the typical windows, but confirm against your own checklist.

Do not reuse documents from a previous application. Old bank statements, an expired NOC, or last year’s insurance certificate will be rejected even if the same documents were accepted before. Whether you get to resubmit or are formally refused depends on the consulate.
When to apply
The EU Visa Code sets the outer limits: you may lodge an application no more than six months before your trip, and no later than 15 calendar days before it.
Individual consulates sometimes publish a narrower window. The German Consulate’s UAE leaflet, for example, asks applicants not to apply more than 90 days before the intended date of travel. Where your consulate’s instruction is narrower than the Visa Code, follow the consulate.
Processing itself takes up to 15 calendar days, extendable in individual cases. In the UAE the longer wait is usually for an appointment, not for the decision.
